Why following up with vendors can MAKE or BREAK your big day….

As you know this is a very busy season with proms, graduations, weddings and other milestone occasions. With such a flurry of activity, it’s important that you follow up with your vendors prior to your big day to confirm your order.  If you don’t, you could be in a serious ‘pickle’.

 We recently had a close call in my house while helping my son get ready for his first prom this weekend.  He called the tuxedo rental company earlier this week to find out when he could come and pick up his tux, and realized that shoes had not been included in the order.  Fortunately when he called, the guy told him that he was lucky because he called just in time to have shoes added to the tuxedo rental.  Had my son not called, he would have had to get really creative with his shoewear on prom night, and that could have gotten really tricky!
This may seem like an extra step to take, but there’s nothing wrong with a little friendly follow up to confirm with the rental company that they will have your items available and that the delivery and pick up times for your event are still on their calendar.  The worst thing in the world is to arrive at your event only to learn that the rental company overbooked or didn’t get your items in on time.  Last time I checked, sit down receptions need chairs, so don’t start a new trend by making your dinner guests stand up to eat because the chairs you rented were not available! By checking in with the rental company a few days prior to, you leave yourself a little room for Plan B if necessary. 
My motto is, ‘when in doubt, ask about’! If you’re not comfortable with the responses you’re getting from event rental companies, ask trusted professionals in the industry for recommendations and insight.  More than likely, you’ll get some great advice and help along the way! Have questions about event rentals?  Please feel free to email or call me so we can chat – I’d love to hear from you!

What do you mean I can’t get my money back?

As wedding and event season gets into full swing, I want to take some time over the next few weeks to remind you of key mistakes to avoid when selecting an event rental company.  One of the biggest mistakes you can make is not making sure you understand the company’s cancellation/date change/item change policy.  What happens if an unforeseen circumstance requires you to postpone or even cancel your event?  Before you sign a contract, you need to know what the company’s policy is if you have to change your event date or even cancel your event.
Many rental companies require some type of non-refundable deposit to establish your event on the company calendar, so make absolutely sure you understand their policy before you commit to making a deposit on your rentals.  If you have to change the event date, can your deposit be applied to the new date?  If you have to cancel your event is it possible to have a portion or all of the deposit refunded if the event is cancelled within a certain time period?  If the contract doesn’t state whether or not the deposit is refundable, be sure to inquire and get the answer in writing.
Also make sure you know how close to the event date you can make changes to your event order.  What if you decide to go with silver instead of gold chiavari chairs 1 month before the event?  What if you receive a cash windfall and decide to double your event guest count the week before the event?  (Wouldn’t that be sweet?!) You need to know how the company handles changes to event rental orders before you sign on the dotted line.
Remember, when in doubt, ask about! Help!! I’m in way over my head!

It’s rare that I have a Saturday evening to catch a breath, but a few weekends ago we wrapped up our participation as a sponsor in a local charity golf tournament so I was home before nightfall. When I’m trying to wind down I like to tune into reality shows that display the before and after of homes, wardrobes, and now restaurants! ‘Restaurant Impossible’ is a show hosted by an expert chef and restaurateur who helps struggling restaurant owners dig their way out of debt, bad menus, poor service, or whatever is keeping their business from thriving.

This was my first time watching the show, but I was a little surprised by how each of the restaurant owners lacked experience in the business and really just didn’t know what to do next. They had poured many months of effort and thousands of dollars in a business that they inherited or just bought because at the time it seemed like a good idea. But in fact, they were in way over their heads.

When you’re planning a special event, particularly a wedding, it can feel like you’re in way over your head. There are so many choices to make, so many people to please, so many places your money is going, and it can take away from the fun of planning your special day! What I learned from this show is that there is nothing wrong with asking for help. Calling in the experts can help you save money, save time, and save yourself from feeling overwhelmed, so that you can truly celebrate the special occasion!
